FieldPulse is field service management software that connects scheduling, dispatch, customer records, work orders, estimates, invoices, payments, and mobile field activity. A user’s first step should be identifying whether the issue belongs to a job workflow, an offline device, a customer-facing portal, or an accounting sync.

What is FieldPulse?

That connected structure is useful, but it also changes troubleshooting. An invoice that looks wrong may have started with the wrong customer or tax setting. A missing form may still be stored on an offline mobile device. A payment may be present in FieldPulse while its QuickBooks record remains unresolved.

Find the first incorrect stage, not merely the last visible symptom.

Use workflows instead of one generic job status

FieldPulse introduced customizable workflow stages that remain compatible with QuickBooks, allowing businesses to adapt job progress to their own operating process rather than relying only on fixed status options.

A company might use stages such as:

  • New request
  • Scheduled
  • Dispatched
  • Technician onsite
  • Work paused
  • Ready to invoice
  • Waiting for payment
  • Closed

The exact names belong to the business. The important part is defining what each change means.

A status should not be used casually when it triggers another action. Moving a job forward may affect scheduling views, customer communication, reporting, forms, or billing tasks. If technicians and office staff interpret the same status differently, the dashboard becomes unreliable even though the software is functioning correctly.

Write a brief internal definition for each stage. Skip adding ten nearly identical statuses that employees cannot distinguish in the field.

A useful test is simple: show the status list to a new dispatcher and ask what action belongs in each stage. Confusion there will become inconsistent data later.

Why a completed job may not be ready to invoice

Physical work and billing readiness are separate events.

A technician may mark the visit complete while required notes, materials, signatures, photos, or customer-facing forms remain unfinished. FieldPulse supports custom forms linked to job and project records, including forms that can be completed in Offline Mode.

That creates a real operational friction. The office sees that the technician finished the appointment, but the information needed to prepare a correct invoice has not synchronized yet.

Do not create a separate replacement job because one document is missing. Locate the technician’s mobile record and confirm whether offline changes are waiting to upload.

How FieldPulse Offline Mode works

FieldPulse’s mobile application can continue operating in Offline Mode when the internet connection drops or the user switches to Airplane Mode. Current product updates say the application can recognize that connection loss and prompt the user to enter Offline Mode.

Custom forms attached to job and project records can also be created or edited without an active connection.

Offline is temporary storage, not immediate office visibility.

A technician may complete a form, update a job, or add information while working in a basement, rural area, or mechanical room with no signal. Those updates must synchronize after connectivity returns before office staff can rely on them.

Reconnect, then verify.

The technician should reopen the affected job after service returns and confirm that the latest changes appear. Office staff should refresh the original record before entering the same information manually.

Two users editing related records during an offline period can create another concern. Field behavior may vary according to the record, application version, and sequence of synchronization, so companies should test their exact workflow before depending on simultaneous offline editing.

Supplier Chat and purchase-order communication

FieldPulse’s February 2026 release added the ability to send purchase orders generated in FieldPulse directly to suppliers through Supplier Chat in both the mobile and web applications.

This reduces the need to copy purchase-order details into a separate conversation, but it also makes record discipline more important.

Before sending a purchase order, verify:

  • The supplier
  • Delivery or job location
  • Requested materials
  • Quantities
  • Internal job or project
  • Person responsible for receiving the order

A message being delivered successfully does not prove that the purchase order contains the correct job details. Communication and approval remain separate checks.

Use the existing purchase order. Skip creating another one because the supplier did not respond immediately.

The purchasing team should also decide whether supplier communication belongs in FieldPulse, email, or another procurement system. Splitting the discussion across several channels can leave technicians unaware of substitutions, delays, or revised quantities.

Customer Portal or Booking Portal?

FieldPulse offers two customer-facing tools that solve different problems.

The Booking Portal can be placed on a company website so potential customers can request estimates or book services. The Customer Portal is designed for existing customers who need access to records such as jobs, invoices, and payments.

A customer trying to pay an existing invoice should not create another booking request. A new prospect may not need customer portal credentials.

Use the contractor’s supplied link. FieldPulse portals are connected to individual businesses, so an unrelated portal will not contain the correct customer history.

This is one of the most common wrong-page errors. The FieldPulse branding looks familiar, but the account belongs to another service company.

How FieldPulse Payments affects invoices

FieldPulse Payments allows businesses to collect payments in the field or online and can provide customers with ACH or card pricing choices. Payment data can update the customer record and pass to connected accounting software through FieldPulse integrations.

That creates several records that should agree:

  1. The invoice total
  2. The payment request
  3. The payment status
  4. The customer balance
  5. The accounting entry

Do not ask a customer to pay again merely because one screen has not updated.

Check whether the payment is recorded inside FieldPulse first. Then inspect the invoice balance and accounting sync. A completed customer payment and a failed QuickBooks synchronization are different issues.

FieldPulse also supports custom tax overrides on estimates and invoices in its current home-services point-of-sale workflow, rather than depending entirely on QuickBooks Online tax calculation.

That setting needs control. Manual tax overrides should be used only under the company’s documented accounting procedure because an incorrect rate can produce mismatched invoice totals across systems. Tax treatment varies by region and transaction type.

Why QuickBooks sync needs a record owner

FieldPulse maintains a large QuickBooks documentation collection covering QuickBooks Online and Desktop, including automatic deposit invoices, customer naming preferences, purchase orders, and sync behavior.

An integration does not remove the need to decide which system owns each record.

The business should document:

  • Where customers are created
  • Where invoices are edited
  • Which system records payments
  • Where taxes are calculated
  • Who resolves sync errors
  • Which system controls purchase orders

Online discussions show sharply different experiences with FieldPulse and QuickBooks. Some users report payment-mapping difficulties, while others describe the two-way sync as a major benefit. Those reports are anecdotal rather than proof of universal performance, but they show why configuration and reconciliation testing matter before launch.

Test the actual workflow. Skip assuming that “two-way sync” means every field and accounting rule will move identically in both directions.

Use a test customer, one taxable invoice, one deposit, one final payment, and one purchase order. Verify the result in both systems before moving the full company database.

Unlimited contacts can create cleaner customer records

FieldPulse removed the previous limit on the number of contacts that can be attached to a customer record.

That is useful for commercial accounts, property managers, facilities teams, and households where several people interact with the service business.

Use contacts instead of duplicate customers when the underlying account is the same.

For example, one commercial customer may have:

  • An onsite contact
  • An accounts-payable contact
  • A facility manager
  • An after-hours contact
  • A person authorized to approve estimates

Creating a separate customer profile for each person can split job history and billing records. Adding them as contacts keeps the relationship centralized while preserving the right communication recipient.

A contact should still be attached carefully. Sending an invoice to the onsite technician rather than accounts payable is a data problem, not a portal failure.
