FieldPulse is field service management software that lets contractors create estimates, convert approved work into invoices, collect customer payments, and keep billing records connected to jobs. Customers may receive an invoice by email or access it through a contractor-specific Customer Portal.

The main job is simple: determine whether the problem sits with the estimate, invoice, payment request, customer portal, or QuickBooks sync. Treating all five as one billing issue usually leads to duplicate records or the wrong support action.
What is FieldPulse?
FieldPulse is a field service management platform for contractors and service businesses. Its core tools include scheduling, dispatching, customer management, estimates, invoices, payments, and team operations from office and mobile environments.
An office employee can prepare an estimate after a service request, while a technician can create or update billing records from the field when the company’s permissions allow it. FieldPulse’s estimate and invoice product is designed to keep quotes, invoices, digital approvals, and payments within the same operational system.
The accounting record may then be synchronized with QuickBooks. That connection is useful, but it creates another place where a customer, invoice, or payment can appear correct in one system and incomplete in the other.
How estimates become invoices
FieldPulse lets businesses create estimates, send them to customers, and convert accepted work into invoices. Customers can review estimates digitally, and the company can continue the billing process without rebuilding the job information from scratch.
The estimate and invoice should remain separate records until the work and billing stage justify conversion. An estimate describes proposed work and expected charges. An invoice requests payment for work or billable items.
Do this first: confirm which record the customer received.
Skip creating another invoice because the customer says the “bill” is missing. They may have received only an estimate, or the invoice may exist but was not sent.
A clean billing workflow normally has these stages:

The short rule: locate the existing record before recreating it.
How invoices are sent to customers
FieldPulse documents a workflow for sending estimates and invoices directly to customers. When FieldPulse Payments is enabled, an emailed invoice can include a Pay Invoice button that sends the customer to an online payment experience.
A customer who cannot find the invoice should check the delivery route used by the contractor. It may have been sent by email, made available through the Customer Portal, or handled through another company communication workflow.
The contractor should verify:
- The correct customer record was selected.
- The intended invoice was sent, not only saved.
- The customer’s contact information is attached to the correct profile.
- The invoice still shows an amount due.
- The payment request was generated from the intended invoice.
A saved invoice is not necessarily a delivered invoice.
Do not resend every open invoice at once. That can cause a customer to receive several similar payment requests without knowing which one is current.
What customers see in the Customer Portal
FieldPulse’s Customer Portal gives clients a contractor-specific place to review job and billing information. Official documentation says customers can see invoice dates, due dates, amounts paid, and outstanding balances under My Invoices. They can open individual invoices and may also download or print them.
The broader portal can also display job details, service requests, schedules, updates, and communication options, depending on how the service business has configured it.
This is not the same as the employee web application.
A homeowner or commercial client should use the portal link issued by the contractor. FieldPulse customer portals are associated with individual service businesses, so a portal found through a general search may belong to another company.
Use the contractor’s link first. Skip employee account registration.
How FieldPulse Payments works
FieldPulse Payments lets participating businesses accept payments through several customer interactions, including the mobile app, payment requests, and the Customer Portal. Its official feature page says payment records can update customer information and flow into connected accounting software through FieldPulse integrations.
The same page describes payment-status tracking for payments that are made, pending, or overdue, together with a centralized view of payment activity.
This creates three records that must agree:
- The customer-facing invoice
- The FieldPulse payment record
- The accounting-system record
A customer can complete a payment while QuickBooks remains unsynchronized. The invoice can also appear open if the payment was entered against the wrong customer or record.
Check the payment inside FieldPulse first. Then inspect the accounting sync.
Do not ask the customer to pay again merely because QuickBooks has not updated. Confirm whether FieldPulse already shows the payment as received or pending.
Why an invoice can still show a balance
An invoice may continue to show an amount due when the payment has not completed, was recorded outside the expected workflow, was applied to another invoice, or has not synchronized correctly.
FieldPulse Payments distinguishes payment activity such as completed, pending, and overdue records. A pending payment should not be treated as a confirmed final payment until its status changes.
Another possibility is a partial payment. The Customer Portal displays both the amount paid and the remaining amount due, so a customer can have a legitimate payment on the record while the invoice still carries a balance.
Check these fields first:
- Invoice total
- Amount paid
- Amount due
- Payment status
- Payment date
- Customer attached to the payment
Skip manually changing the invoice total to make the balance disappear. That can damage the original billing record and create a mismatch with QuickBooks.
QuickBooks sync errors
FieldPulse supports integrations with QuickBooks Online and QuickBooks Desktop. Its official integration materials describe the connection as a way to keep supported customers, invoices, payments, and related accounting records aligned.
The connection does not mean every record always synchronizes without intervention.
For QuickBooks Online, FieldPulse provides a Failed Sync control next to affected records. Selecting it opens a dedicated page listing the sync errors associated with that record.
The post-sync view also displays the date and time of the most recent synchronization and identifies unsuccessful records.
QuickBooks Desktop has a similar error workflow. FieldPulse directs users to Company Settings, then Estimates & Invoices, and then QuickBooks to review synchronization status and errors.
Fix the failed record first. Skip running repeated full syncs without reading the error.
A customer record, invoice item, or mapping issue may continue failing every time until the source data is corrected.
The Booking Portal is not the Customer Portal
FieldPulse offers a Booking Portal that can be connected to a service company’s website so prospective customers can request estimates or schedule services. The portal considers employee scheduling, and payment collection requires FieldPulse Payments to be enabled.
The Customer Portal serves existing customer relationships and records. The Booking Portal focuses on creating a new request or appointment.
That difference prevents a common wrong-page mistake.
A person trying to pay an existing invoice should use the Customer Portal or invoice link, not submit another booking request. A person requesting new service may not need customer portal access yet.
Why mobile billing changes may not appear immediately
FieldPulse’s mobile app supports work such as estimates, invoices, schedules, dispatching, and customer management.
When a technician makes changes in the field, connection quality can affect how quickly office users see those updates. A record that has not synchronized should not be recreated from the office until the original mobile entry is checked.
This matters with invoice line items and job photos. A technician may finish the record in an area with weak service, then the office assumes the invoice was never created.
Reconnect first. Then refresh and verify.
Mobile app reviews mention occasional frustrations involving notes and field editing, but those reports represent individual user experiences rather than confirmed system-wide faults.
How to choose FieldPulse support
FieldPulse maintains a Help Center covering mobile use, customers, estimates, invoices, payments, integrations, and technical troubleshooting. Its mobile documentation directs users to the published support email or the chat feature available within the interface.
Use support when:
- A sent invoice cannot be located.
- A payment appears completed but does not update the invoice.
- A QuickBooks record repeatedly fails after correction.
- Several users experience the same billing problem.
- A customer portal displays the wrong records.
Before contacting support, note the affected customer, estimate or invoice reference, the feature being used, the approximate time, and whether the problem occurs in the web app, mobile app, or customer portal.
Do not send confidential login or payment credentials.
